Planning a Move from PhoneBurner to a Zoho Power Dialer

A dialer migration is a chance to document what the team relies on and test how each part of that workflow will work in Zoho CRM.

Map the current workflow before changing it

Before moving from PhoneBurner or another calling platform, document how the team uses it today. Include how agents select records, what they see while calling, the outcomes they record, which follow-up actions occur, and what managers use for reporting. This inventory helps distinguish essential requirements from habits that can be reconsidered.

Then compare that workflow with the target system using actual team scenarios. For a Zoho-focused power dialer, verify how agents select Zoho records, what context is available during the session, and how completed calls and configured actions appear in the CRM. Do not assume that an integration or migration will preserve every setting automatically.

Prepare outcomes, fields, and automations

Review the call outcomes used by the team and decide which ones should remain distinct for reporting and follow-up. Map each retained outcome to the Zoho CRM field or action that should follow it. Check that the destination fields, accepted values, permissions, and any dependent Zoho workflows are ready before agents begin using the new setup.

Document the behavior each automation is expected to produce, then test it with representative records. If the new dialer can update Zoho directly, that may change the role of middleware in a workflow, but do not remove an existing integration until its other responsibilities and dependencies have been checked.

Plan data handling and a controlled rollout

Identify what data must remain available after the change, where it is stored, and who is responsible for any export or retention requirements. Confirm which historical call details, recordings, dispositions, or lists can be transferred and which need to remain accessible in the previous system. The available migration options depend on the systems and account configuration, so verify them with each provider.

Pilot the new workflow with a small group and a set of known records. Check call activity creation, mapped values, notes, reporting, and any configured follow-up actions. Give agents a place to report problems and keep a rollback or escalation plan until the key workflows have been verified.

Train for the new daily routine

Training should show agents where records come from, how to move through a session, how to record an accurate outcome, and what to do if an action does not complete as expected. Explain any differences in voicemail, retry, or recording procedures instead of assuming that familiar terms mean identical behavior in both products.

A successful transition depends on the fit between the product, CRM configuration, and team process. Revisit the original workflow inventory after the pilot and resolve gaps before expanding the rollout.
